I have drafted up a letter that reiterates the office policy on receiving massage when sick, and giving explicit "amnesty" to late cancellers if they think they are sick that I am considering sending out this fall. I close out the letter by saying, "I promise to honor your health and wellness by not working when I am sick, and I ask that show me and subsequent clients the same respect."

Is this too direct or offensive? I remember last winter people coming in coughing and sneezing, then not washing their hands and I must have had a constant low grade cold from December to March. I really don't want to repeat that this year. What do y'all think?

I think it's an excellent idea... however, I will pad this by saying that I tend to be rather blatant and straight forward...

I would keep in mind, though, that you may see an increase in late cancellations from "sick" people who can't make it for some other reason, since you are offering amnesty

Sounds like a good idea to me, too. I'd much rather have the one or two "not really sick, but canceling anyway" clients than miss multiple appts. due to my own sickness. Besides, how many people are truly going to want to skip a massage?

Here is the letter. Feel free to copy and amend for your own use. Further comments/crits are welcome!

Dear [Client],
In light of the potentially severe cold & flu season predicted for this winter, please note the following policy regarding illness at [my massage practice]:
 If you have had a fever, vomiting, or diarrhea within the last 24 hours you should not get a massage. It will not make you feel better and may, in fact, make you feel worse. Amnesty regarding the 24 hour cancellation policy will be afforded you when you wake up sick the day of your massage.
 Please call to re-schedule your appointment as soon as you start feeling ill—even if it is less than 24 hours notice. No-call/no-shows will be billed.
 If you arrive for your session with a runny nose, coughing, or uncontrolled sneezing you will be refused service and I will expect payment in full. The determination of what is “too sick” is made by me and is not negotiable.

A few tips for staying healthy this season:
 Be sure to stay well hydrated, and eat nutritious foods.
 Wash your hands frequently with hot soapy water. Researchers have determined that the friction generated while vigorously washing your hands is as important as soap, so rub, rub, rub those hands together!
 Clean door knobs, shared phones and other often-touched objects with a good disinfecting cleanser daily.
 Get plenty of rest. An overworked, overstressed body is more likey to succumb to viral and/or bacterial infections than a body that is well rested.

I promise to honor your health and wellness by not working when I am sick; please show me and subsequent clients the same respect.
