I have this rather annoying client that has this tendency to constantly say when I run into them outside the office to call them. Once and a while I think it is up to me, but constantly expecting me to maintain contact is getting ridiculous. I am an indepedent practitioner and have little time to do so. Should I continue or tell the client to call me when they need me?

I don't chase down clients. I've found the ones who say "call me" are not very serious about making/keeping an appointment, anyway, but I respond with my "office hours" and hand them a business card or ink pen with my info, and cheerfully say, "whenever you have your calender with you and are ready to set up the appointment, here is my number! That way I am not coming off as arguing......but I'm not agreeing to be their mommy.

I carry my calendar with me at all times (I use my iPhone calendar) and when I'm faced with this situation, I just open my calendar and ask them, "When would you like to come in?"

Almost without fail when Lisa and I go out to dinner someone wants a massage. She carries her calendar at all times and i usually have my netbook with my scheduling software (Spa-Booker is an Internet booking system I can hit from any computer). The few times we forget we miss opportunities.

As to the "call me" guy, I'd call him once and book him...after that it's up to him.

I do that too - but the "call me" folks don't EVER know their schedules and do not book appointments - they want to be chased down. But even if you call, they end up no-showing if they do book. Bleck.

Honestly I wouldn't bother with this type of client. Too flakey, I don't have time to track folks down. However, you could use this opportunity to set up a 90-120 day reminder email system and tell this client that you'll put him/her on the list. My online scheduler prompts clients who haven't been in the office in the last three months to get back on the books. It is worded very lovely, "we miss you," type of email and helps with client recall when life gets busy for them.

My sister and a friend do this. I can't carry a schedule with me, there are 4 of us at the shop and we use one big scheduling book - I have no way of knowing what the others may have booked for me after I leave for the day or on my days off. I tell them to call me at the shop when they want to book, I'm there 40 hours a week and even if I'm in session, one of my coworkers can schedule them for me. I'm not chasing them, they know how to reach me at work.

Certainly! I use Appointment-Plus aka StormSource Software, it is an extra $10 a month but saves me from going through "the books" and sending out such an email myself. I'll come back and post the sample text when I have a few more minutes!

Yes i agree, I'll do it once, but then they really need to be responsible for themselves.
